Years ago I was in the same spot as you are right now when I was planning out my Eagle Scout Project: Confused, distracted and running out of time.
I knew WHAT the requirements were (any brainiac could look in the service project “workbook” and see what exactly had to be done), I just didn’t know HOW I could finish before my 18th birthday.
I began doubting myself, was it really this hard?
It seemed like anytime I had free time, I felt guilty because I wasn’t working on my project.
Seriously, I began losing sleep over keeping track of my project schedule and my project work began making it’s way into homework time.
The consequences? My grades dropped in school and I began losing focus on sports and the rest of my life.
The fact that my project was weighing my grades down seriously began to annoy me.
So, as any smart Boy Scout would do, I asked anyone and everyone I could for guidance. I heard lots of things but didn’t know how to organize it all.
Life was looking grim.
After fumbling around with my project for 3 months, it suddenly hit me.
I came to the conclusion that if you focus on the process of the Eagle Scout Leadership Service Project and not what had to be done, I could save lots of time and wasted effort (not to mention the money that would be wasted due to poor material planning practices).
I began looking at every aspect of my project, from “nuts to bolts,” as they say.
There were some very critical pieces of the project that needed a strategy-based system around the tasks.
First – I looked at picking the proper project to suit my needs, not “shooting from the hip” at the first project opportunity that came my way. For this, I crafted a very clever selection process that involves non-profit research in the area combined with some fancy budget and time estimators.
Second – I looked at “planning to plan” my project. For this, I created dizzying tables and work plans that laid out exactly the steps that my team would need to do in order to complete my project on time.
Third – I planned out the execution of the project, which included fundraising, logistics for delivery of the end-state, team communication strategy, as well as some contingency, “risk” planning. This step was helping in “greasing” the gears to ensure a very smooth project went off (most of which needed very little oversight from me once the teams began to work).
Fourth – I tracked everything, and I mean everything, for example, meeting logs, budgets, project schedules, risk assessments and mitigation, issues, donations, personal hours, volunteer hours, and predicted v. actual equipment/materials used. This allowed me greater control over the project management process and prevented mistakes.
Fifth – I evaluated my project using my logs so that I was fully able to discuss project changes, relating to cost, scope, requirements changes, planning and production, project organization, blueprints, re-useable assets and lessons learned at my Eagle Scout Board of Review.
The result?
My STEP-BY-STEP METHOD worked and I finished my $400 bench building service project just 3 weeks before my 18th birthday.
Relief.
The interesting thing though is that because of my methods, I could’ve been hit by a bus that work day and my team still would have been able to complete the tasks on time.
That made me ask the question: Why couldn’t all Eagle Project Managers “auto-pilot” their projects?
This brief flash of brilliance faded immediately after I received Eagle Scout. I was enjoying my 2nd semester in high school and would soon be off to college.
It wasn’t until 5 years after I completed my project that I had realized just what I had done.
In 2008, I received a Bachelor of Science in Business Economics and began to work in the Washington D.C. region as a business strategy consultant to the federal sector.
In this profession, I learned that it is quite common to take a complex business problem in a department, “peel back the onion layers,” and figure out how to improve it so that it can transformed into a more efficient and effective solution serving the greater organization.
Typically, this problem solving is combined with project management, so that costs are controlled and so that the client can get the results ASAP.
